Introduction

The Regatta Management functions are available for clubs that have selected the Yacht Club option. This option enables a fleet database of boats and a regatta database, both of which are used for regatta management, payment processing, and regatta scoring. This option also enables a member boat listing under the member's profile.

Fleet Management

Selecting the Fleet tab will take you to the Fleet Management view, displaying a list of club boats. A sub menu of actions is shown under the Fleet Tab. This provides you the following options:

  1. Add – Add a new boat to the database
  2. List – Return to initial list view, clears any current search criteria
  3. Logoff – Ends the user session
  4. Search – Allows you to search for a boat by the fleet Id number or partial boat name. Note a partial name search requires a minimum of two characters. The search is not case sensitive.

Boat List

Boat Add

Department Manager access level required. Click Add on the menu bar from the Fleet tab to open the boat input view. After entering the fields, click the save button. The assigned fleet ID number will be displayed.

Populate the following fields:

Fleet Boat Number
Assigned. A unique number identifying the boat in the club fleet.
Member Number
Required. The Member Number that the boat belongs to.
Sail Number
Optional. Alphanumeric. Sail or Hull number identifying the boat.
Boat Name
Required. Alphanumeric. Enter “None” if the boat doesn't have a name.
Make/Model
Required. Alphanumeric.
PHRF Handicap
Optional. Numeric. Handicap assigned by regional PHRF committee for the division the boat will normally compete in.
WSIEH Handicap
Optional. Decimal. The World Sailing International Empirical Handicap. Format 9.999

From the Fleet tab, input the search criteria into the search field and click the search button. The results view is sortable by clicking the desired column header. Use navigation arrows Prev < and > Next to change pages. Clicking a letter in the rolodex will jump to boat names beginning with that letter.

Valid searches are:

  • Fleet Boat Number – will display the boat info if found
  • Boat Name Search – Entering at least two characters will return list of all boat names that contain the search string. One character only will return the Rolodex list of names beginning with that character.

Boat Update

Department Manager access level required. Select a boat by clicking on the Fleet ID number from the list view, or search for a boat by the Fleet ID or Boat Name. The boat detail information is initially displayed in a protected view. Click Update from the menu bar to allow changes to be made. Click save when done.

Boat Delete

Department Manager access level required. Select a boat by clicking on the Fleet ID number from the list view, or search for a boat by the Fleet ID or Boat Name. The boat detail information is initially displayed in a protected view. Click Update from the menu bar to allow changes to be made. Click the Delete button to permanently delete the entry.

Regatta Management

Selecting the Regatta tab will take you to the Regatta Management view, displaying a list of club regattas. A sub menu of actions is shown under the Regatta Tab. This provides you the following options:

  1. Add – Add a new Regatta (requires Department Manager Access Level)
  2. List – Return to initial list view, clears any current search criteria
  3. Logoff – Ends the user session

Note: The Regatta list is available publicly without requiring a member logon, however the administrative options will only be available when logged on with Department Manager Access Level or higher.

Selecting a regatta from the list or search view will provide the following additional options:

  1. Update
  2. Message
  3. Enter
  4. Scratch Sheet
  5. Results
  6. Documents

Regatta List

Regatta Add

Department Manager access level required. Click Add on the menu bar from the Regatta tab to open the regatta input view. After entering the fields, click the save button. The assigned Regatta ID will be displayed and the view is opened to add the Division, Class, and Races.

  • Division Add (#division-add)
  • Class Add (#class-add)
  • Race Add (#race-add)

Populate the following fields:

Regatta ID
Assigned. Unique identifier for a regatta.
Regatta Name
Required. Alphanumeric.
Regatta Date
Required. Valid date, MM/DD/CCYY.
Description
Required. This field accepts either plain text or an html formatted description which can include links to logos, images, etc.
Registration Cutoff Date
Required. Valid date, MM/DD/CCYY. The last day online entry will be allowed.
Scoring Method
Required. Currently only the Low Point method is supported.
Series
Optional. Check if there will be more than a single race in this regatta.
Number of Races to Qualify
Optional. Numeric. Zero means all boats qualify for a series regardless of the number of races competed in.
Number of Throw outs
Optional. The Racing Rules of Sailing note that 1 is to be used unless otherwise specified in the NOR.
Long Series
Optional. If checked, RRS Rule A9 applies scoring DNS, DNF, DSQ & RET as number of starters + 1 to reward participation.
Entry Fee
Optional. Decimal, US Dollars.
Early Registration Discount
Optional. Decimal, US Dollars. The entry fee will be reduced by this amount for entries registered before the Early Registration Cutoff Date.
US Sailing Member Discount
Optional. Decimal, US Dollars. The entry fee will be reduced by this amount for entrants who put in a US Sailing Membership Id when registering. The ID is not validated, this must be done manually with US Sailing if desired.
Early Registration Cutoff Date
Required if Early Registration discount will be provided. Valid date, MM/DD/CCYY. The last day the discount will apply.
Liability Waiver
Required. Defaults from Club Waiver. Accepts text only. This will be displayed for entrants to accept when registering online.

Regatta Detail

Division Add

After entering the primary regatta information, the Division add field will be enabled for entry. Enter the Division information and click the Add button next to the division.

Division ID
Assigned. A unique identifier for the division.
Division Name
Required. The name of the division.
Handicap Method
Required. The handicap method used to score the division. Applies to all classes in the division. Select a valid method from the drop down list. Options are:
  • One Design
  • WSIEH TOT / World Sailing International Empirical Handicap
  • PHRF TOT / PHRF Time-on-Time
  • PHRF TOD / PHRF Time-on-Distance

Regatta Division

Add a Class

After entering the regatta division information, the class add field will be enabled for entry. Enter the class information and click the Add button next to the class.

Class Name
Required. The name of the class.

Regatta Class

Add a Race

After entering the primary regatta information, the Race add field will be enabled for entry. Enter the Race information and click the Add button next to the race.

Race Nbr
Assigned. The race number in the series.
Race Date
Required. Valid date, MM/DD/CCYY. The date of the race. Multiple races can be scheduled for the same day.
Final
Optional. If checked, race results are marked final and scoring changes are prevented. Results are otherwise marked pending.

Regatta Races

From the Regatta tab, input the search criteria into the search field and click the search button. The results view is sortable by clicking the desired column header. Regatta Summary

The Regatta Summary page is publicly viewable, it does not require logon to view. This id display when the Regatta Name is clicked from the Regatta list or search page. The summary page displays a pre-formatted view consisting of dates, fees, and the description entered when creating the regatta. The summary description can contain formatted HTML, links to images, logos, etc.

Regatta Update

Department Manager access level required. Select a Regatta by clicking on the Regatta Name from the list view. The regatta detail information is initially displayed in a protected view. Click Update from the menu bar to allow changes to be made. Click save when done.

Division Update

Department Manager access level required. Select a Regatta by clicking on the Regatta Name from the list view. The regatta detail information is initially displayed in a protected view. Click Update from the menu bar to allow changes to be made. Make desired changes to division. Click the Save button next to the division when done.

NOTE: It is not recommended to change the division handicap method after scoring has started. If this is done, the score for each entry will need to be updated to recalculate the score.

Class Update

Department Manager access level required. Select a Regatta by clicking on the Regatta Name from the list view. The regatta detail information is initially displayed in a protected view. Click Update from the menu bar to allow changes to be made. Make desired changes to Class. Click the Save button next to the Class when done.

Race Update

Department Manager access level required. Select a Regatta by clicking on the Regatta Name from the list view. The regatta detail information is initially displayed in a protected view. Click Update” from the menu bar to allow changes to be made. Make desired changes to the Race. Click the Save button next to the Race when done.

Regatta Entry

Department Manager access level required for admin entry of boats. Otherwise, Members and Guests may enter their own boats. From the Regatta list, click on Enter. The Regatta Entry view will be displayed. Fill out the appropriate information and click the Save button to add the entry. After saving, a button for payment will be available for those wishing to pay online.

Note: If the entry link is accessed without logging on, the user is directed to a guest registration page. Members should select the logon link and logon first.

Regatta Name
Protected. The name of the regatta being entered.
Entry Nbr
Assigned. The unique identifier for this entry.
Boat
Required. Select a boat from the drop down list. Members and Guests can only see their own boats. Department Managers will be able to select from the entire fleet.
Class
Required. Select the appropriate Division/Class for the entry.
US Sailing Member ID
Optional. If entered the member discount is applied. No validation is done.
Entry Date
Assigned. Automatically populated on save with the current date.
Entry Fee
Assigned. Automatically populated with the Regatta Entry Fee.
Early Registration Discount
Assigned. Automatically populated with the Regatta's Early Registration Discount if the current date is less than or equal to the Regatta's Early Registration Cutoff Date.
US Sailing Member Discount
Assigned. Automatically populated with the Regatta's US Sailing Member Discount if the US Sailing Member ID is entered.
Total
Assigned. Automatically calculated as Regatta's Entry Fee less applicable discounts.
Payment Status
Optional. Use to mark entry paid by cash or check. Automatically updated to paid when entrant successfully pays online.
Waiver
Required. Indicates the entrant has read accepted the Regatta's Liability Waiver.
Handicap
Optional, Required if boat doesn't have a handicap already assigned in the fleet database. This will default from the fleet database if it exists. This can also be used to override the fleet default if the boat is entering in a different class than normal.

NOTE: For the golf style WSIEH, this also is the starting handicap for the series. For WSIEH divisions, this can't be changed once races have been scored. To change the starting handicap for a WSIEH division entry after races have been scored, enter the handicap override on the first race's score view for that entry to rescore that entry and the entire class.

Regatta Entry

Scratch Sheet

The scratch sheet is publicly viewable, it does not require logon to view. This will display all entries for the regatta by division/class. If logged on with Department Manager access level, the entries can be selected for updating by clicking the Entry Number.

  • The handicap displayed will either be the WSIEH or PHRF handicap assigned on the entry, depending on which handicap option was selected for the division.
  • The payment status will note "Paid" if the entry was paid online or has been updated manually to paid for cash and check. Unpaid entries will have a blank payment status, noting payment due.

Regatta Scoring

Department Manager access level required. Select a Regatta by clicking on the Regatta ID from the list view. The regatta detail information is initially displayed in a protected view. Click Update from the menu bar to allow changes to be made. Once in update mode, click the Scoring button next to the race to be scored.

Regatta Scoring

Enter Class Start Times

Enter the information for each class, one at a time and click the save button for that class.

Start Date
Required. Valid date, MM/DD/CCYY. Defaults to race date, only need to change for postponements. Applies to all classes.
Start Time
Required. Enter class start time HH:MM:SS in 24 hour/Military time. i.e. 1:00pm = 13:00:00
Abandoned
Optional. If checked, class is excluded from scoring. A place holder on the results page will note the race as ABD.
Distance
Required for PHRF TOD divisions, Optional (informational only) for all other divisions.
Wind Adjustment
Required for PHRF TOT divisions, Optional (informational only) for all other divisions.
Add DNC's
Optional. This button can be used to mark all unscored boats in the class as DNC. Typically done after entering the finish times for the boats that competed.

Class Start

Enter Finish Times

When entering scores, it may be desirable to filter the entry list by class and optionally sort by entry number, boat name, or sail number to facilitate easy entry.

Entry Filter

Then for each entry in the race, select the entry from the drop down and enter the appropriate information. Click the save button for that entry. The view will clear to allow the next entry to be scored.

Entrant
Required. Drop down list of available entries. List notes Division / Class / Entry sorted as defined by the filter.
Finish Date
Required. Valid date, MM/DD/CCYY. Defaults to Start Date. Used for races that extend past midnight, i.e. multi-day races.
Finish Time
Required. Enter finish time HH:MM:SS in 24 hour/Military time.
Penalty
Optional. Select standard penalty from drop down list as defined in the RRS Apendix A.

RDG - For a series, by default awards entry's average points up to the race being scored. Otherwise uses specified point ovverride. SCP/ZFD - Adds point penalty defined by scoring penalty rule. The default is 20%. Cumulative penalties can be applied by specifying the desired multiplier option, i.e. SCP x 2.

Point Override
Optional. Use for One Design classes and pursuit races to finish by order, or to designate points for redress given. This will override the calculated points.
Handicap Override
Optional. Use if an entry requires a different handicap for this particular race than what is defined for the boat on the entry page (scratch sheet). Enter the appropriate handicap for that division, PHRF or WSIEH.

NOTE: For the golf style WSIEH divisions, this can be used on the first race to change the starting handicap for the entry after races have already been scored. That would rescore that entry and the entire class.

Score Entry

Results

The results are publicly viewable, it does not require logon to view. This will display all scores for the regatta by division/class. If logged on with Department Manager access level, the scores can be selected for updating by clicking the Entry Number. Clicking on the Race Number column will display the detail view for that race.

Send Message to Entrants

Department Manager access level required. Select Message from the menu after selecting a Regatta. This will pull up a form to email all entrants for the event. Checking the field Use Email Client will use your device's default email application enabling you to personally send detailed, complex formatted messages with attachments. Leaving the field un-checked will send a simple text or optionally HTML formatted email directly from the webserver.

Fill out the appropriate fields and click send.

Use Email Client
Optional. If checked, uses device's default email application.

Note: Some email clients may require semi-colon delimeters instead of a comma delimiter. If your's doesn't support commas, then you will likely have to manually change them.

Include Guests
Optional/Recommended. If checked, message is sent to all entrants whether they are club members or guests.
Message Format
Required. If HTML is selected, the message can include HTML formatting and will send a formatted message. Otherwise plain text is used.
Subject
Required.
Message
Optional. If using an email client you can compose the message there once it pops up.

Regatta Documents

List of Documents for the event. Department Manager access level required to upload or maintain document database. Download permissions can be defined by access level. Select Documents from the menu on the Regatta tab. Click the Download button to download files from the list.

Document Upload

Department Manager access level required to upload. Select Upload from the document menu. Fill out the appropriate fields and

File ID
Assigned. Unique id for file.
Select File
Required. Click Browse to open file selection window. Select file to upload.
File Name
Optional. Use to override file name. Defaults to scrubbed version of selected file name.
File Description
Required. Short description of file.
Access Level
Required. Minimum access level required to view file. File will only appear in lists for members if Public or Member permission is set. If Pubic is selected, anyone can view the file whether they are logged in or not.
Upload Date
Assigned. Date file was uploaded.
Overwrite Existing File
Required if file name specified already exists. Check to overwrite existing file.

Document Upload

From the documents view, input the search criteria into the search field and click the search button. The results view is sortable by clicking the desired column header. Use navigation arrows Prev < and > Next to change pages. Clicking a letter in the rolodex will jump to files names beginning with that letter.

  • File ID – will display the regatta info if found
  • File Name Search – Entering at least two characters will return list of all files for this event that contain the search string. One character only will return the Rolodex list of files beginning with that character.

Document Update

Department Manager access level required. Click Document ID from document list to select. The file detail information is initially displayed in a protected view. Click Update from the menu bar to allow changes to be made. Make desired changes to the file information. Click the Save button when done.

  • You may optionally upload a revised document.
  • Changing the filename will rename the file on the server.
  • You may upload the same document to multiple events by checking the option Overwrite Existing File. This way the same document will be listed for each of the events.

Document Delete

Department Manager access level required. Click Document ID from document list to select. The file detail information is initially displayed in a protected view. Click Update from the menu bar to allow changes to be made. Click the Delete button to delete the file.

NOTE: Deleting a file that has been uploaded to multiple events as the same name will cause it to be unavailable to the other events.
